Job Summary

Under the supervision of the Library Director, this position performs a wide variety of administrative, bookkeeping and secretarial duties including payroll, processing monthly bills and compiling monthly board meeting packets.  This position also assists with the implementation of employee-related services, policies and procedures. 

 

Major Duties and Responsibilities (to include, but not limited to)

 

·         Fully executes biweekly payroll and processes monthly employee retirement benefits and quarterly unemployment/tax reports

 

·         Prepares, processes and maintains personnel documents, including employee benefits paperwork. Knowledgeable of library policies and procedures

 

·         Responsible for accounts payable including obtaining invoice approval, assigning appropriate expense fund, check processing and distribution

 

·         Responsible for accounting records

 

·         Counts and balances daily income and prepares for weekly bank deposits

 

·         Reconciles bank statements and prepares accounting reports

 

·         Responsible for creating, maintaining and filing business records in the business office

 

·         Records and acknowledges all donations

 

·         Prepares and distributes all documents required for monthly library board meetings

 

·         Maintains records retention schedule and coordinates records disposal activities

 

Knowledge, Skills and Abilities

 

·         Knowledge of professional standards and best practices in public accounting, office management, and records management

 

·         Excellent organizational skills and attention to detail

 

·         Ability to work independently

 

·         Ability to complete detailed work accurately, efficiently, and on time, with minimal supervision

 

·         Ability to handle confidential and sensitive information with discretion, tact and diplomacy

 

·         Ability to communicate effectively, both in writing and verbally, and to prepare and present reports and other information in the appropriate format

 

Qualifications

 

·         A minimum two years work experience with emphasis in accounting and payroll

 

·         Computer proficiency

 

 

Hours: Full-time, salaried position at 32 hours per week. Benefits include IMRF and Health Insurance.
